How do I choose the right villa management company in Marbella?

Last updated: 2 July 2026 · By the El Rey Villas team

The right villa management company in Marbella combines transparent fees, genuine local presence, and a selective portfolio approach. Look for a team that lives in the area, charges a percentage of bookings rather than upfront retainers, gives you approval over pricing and minimum stays, and treats your property as if it were their own, not as one listing among thousands.

Key facts

  • Our rental management fee is 20% of the daily booking rate. Nothing payable upfront, your first cost is our first booking.
  • Every property we manage is hand-picked, not signed up indiscriminately. If it doesn’t meet the standard, we don’t list it.
  • Owners retain full control: set minimum stay durations, review and approve the pricing strategy, and block dates for personal use whenever they want them.
  • The team is locally based in San Pedro de Alcantara, operating across the Golden Triangle. When something needs sorting, someone in the same town sorts it.
  • Trust and transparency is at the heart of everything we do: no hidden fees, no surprises in the small print, and a full written service agreement before anything goes live.

What fees should a villa management company in Marbella charge, and what is reasonable?

A percentage of the daily booking rate is the model that aligns the management company’s interests with yours, they earn more when you earn more, nothing when the villa sits empty. Our fee is 20% of the booking rate, with nothing payable upfront. Be cautious of companies that charge flat monthly retainers regardless of occupancy, or those that layer on hidden fees for photography, platform listings, or basic maintenance calls. The full cost structure should be clear before you sign anything.

How do I know if a management company is genuinely selective about the properties they take on?

Ask directly: how many enquiries do they turn down? A company that signs up every villa that comes through the door is building volume, not quality. At El Rey Villas, the portfolio is hand-picked, every property is personally selected for comfort, privacy and style. We won’t list a villa that doesn’t meet the standard, which is why guests don’t filter through hundreds of mediocre listings to find a good one. That selectivity protects your villa’s positioning and the calibre of guest it attracts. If the answer to ‘how do you choose your properties?’ sounds like a sales pitch rather than a process, keep asking.

How much control do I keep as an owner if I use a villa management company?

A well-structured arrangement gives you meaningful input without demanding your time. With us, owners set minimum and maximum holiday durations, review and approve the pricing strategy before it goes live, and block dates for personal use whenever they want them. Nothing is published without your sign-off. Some owners want to pre-approve every pricing change; others prefer to take a back seat entirely. The right level of involvement is the one that suits you. What you should never accept is a management company that treats owner input as inconvenient.

What should I look for in terms of local knowledge and presence?

Local presence is not a marketing line, it is the difference between a maintenance issue resolved on a Tuesday and a maintenance issue dragging into the following week. Kevin and Anna are based in San Pedro de Alcantara, in the heart of the Golden Triangle, and the team operates across Marbella, Benahavis and Estepona with a trusted network of suppliers built over years. When a pool pump fails at 11pm on a Friday in July, local means someone with a direct number for the right contractor, not a helpdesk that logs a ticket. Ask any prospective management company exactly where their team is physically based, and how they handle out-of-hours emergencies.

How do I assess whether a management company will look after my villa between bookings, not just during them?

Between-booking care is what protects the asset long-term, not just the bookings calendar. Post-stay walkthroughs, regular property checks, maintenance coordination, and supplier liaison, these are the unglamorous parts of management that separate a genuinely protective service from one focused only on filling dates. Ask specifically what happens the day after a guest checks out, and what the process is when a routine check flags something minor. Our property management service handles exactly this: the property is checked, small issues are dealt with before they become expensive ones, and the villa is ready for the next arrival without the owner needing to think about it.

Does it matter whether the management company handles tourist licences?

It matters significantly. Operating a short-term rental in Spain without a valid tourist licence is illegal, and the fines are meaningful. A management company that does not actively assist with licensing, or assumes you will handle it yourself, is leaving a material risk unaddressed. We work closely with a specialist solicitor who arranges the tourist licence on the owner’s behalf, so the property is legally ready to earn from day one. If you are enquiring about management for a villa that does not yet have its licence, make sure any company you approach can walk you through the process, not just hand you a contact number and step back.

Isn’t one management company in Marbella much the same as another?

The surface looks similar, percentage fees, platform listings, a contact number for guests. The difference shows in the detail. A large operation that signs up properties indiscriminately will list your villa alongside hundreds of others and optimise for volume. A selective, family-owned team will hand-pick what they manage, maintain relationships with the guests who come back year after year, and treat your property as if it were their own. The fee might be comparable. The outcome for your villa, its positioning, its occupancy in shoulder months, the calibre of guest it attracts, the condition it is kept in between stays, is not. Ask how many properties they currently manage, how many they turned down last year, and who picks up the phone at midnight when a guest has a problem.

Three signals you have found the right management company

First: they ask as many questions as you do. A management company that wants to understand your villa, your priorities, and how involved you want to be is building a service around you, not slotting you into a standard contract. Second: the fee structure is completely clear before you sign anything, including what is and is not included, and what optional add-ons cost. If there is any vagueness about when charges apply, that vagueness will cost you money. Third: someone from the team has physically been inside your property, or arranges to visit before the listing goes live. Professional photography, an accurate listing, and a realistic pricing strategy all depend on the team knowing the villa. If they are willing to list without seeing it, they are not selective enough to protect it.

You will need to apply for a free tourist license to accept short term vacation rentals in Spain, which we can help you obtain. It is also worth mentioning that people renting a property to tourists in Spain should have an energy performance certificate (EPC). It is also the responsibility of the owner of the property to ensure they have the relevant insurance cover.
That depends on you! During your initial free consultation we will ask how much involvement you would like. Some clients like to pre-approve all marketing &/or pricing schedules, others prefer to take a back seat.
That’s a tough one to answer. It depends on a number of things like the size and location of your property, the season and how flexible your booking policy is. Attractive tourist areas in the holiday season can expect high occupancy rates. Taking into account the relatively high rents in typical tourist resorts, the rental income may turn out to be very attractive.

It is recommended that an insurance policy is taken out for peace of mind, although a number of the booking websites we partner with often provide some cover, for example, the Airbnb Host Guarantee provides property damage protection of up to $1,000,000.

For an additional EUR 500 / year you also have the option to require a 10% security deposit for your listing. El Rey Villas will collect damage deposit payments from guests on your behalf, and capture photographs after every changeover, to ensure you have evidence of what condition the property was in when the guest arrived and its condition when they left.

If this is a service you require we would be happy to discuss it further during your initial consultation.
